Privacy Policy

This Privacy Policy explains how Superior Logistics Ohio, LLC, an Ohio limited liability company (“Superior Logistics,” “we,” “us,” or “our”), collects, uses, stores, and protects information in connection with VAULT (the “Application”), our internal contract, compliance, fleet, and financial operations portal available at TheVault.Delivery.

Who this Application is for. VAULT is a private, internal business tool. It is made available only to authorized employees, staff, and contractors of Superior Logistics Ohio for operational purposes. It is not a consumer product, is not directed to the general public, and does not offer accounts or services to outside consumers.

2. Scope

This policy applies to information processed through the Application, including information entered by authorized users and information retrieved from third-party services that an administrator has connected to the Application. It does not apply to the third-party services themselves, each of which is governed by its own privacy policy.

3. Information we collect

3.1 Information entered by authorized users

Authorized users enter and upload business and operational records into the Application. Depending on the modules in use, this may include: carrier and vendor records; customer and contract records; driver qualification information (which may include names, license and medical-certificate details, and related documents); owner-operator lease records; fleet and vehicle records; work orders and maintenance records; accounts-payable and accounts-receivable records; performance, bonus, disciplinary, chargeback, and property-damage records; and supporting documents and notes.

3.2 Information from connected third-party services

An administrator may connect the Application to third-party services using credentials that the administrator provides. When connected, the Application retrieves data from those services to display and organize it within VAULT. These services may include, among others, Intuit QuickBooks Online, Connecteam, Comdata, IBM MaaS360, dispatch and delivery platforms (such as DispatchTrack and Package.AI), Google Business Profile (reviews), the FMCSA, and background-screening providers. See Section 9 for details.

3.3 Account and technical information

To operate the Application securely, we process user account information (such as name, work email address, and a securely hashed password), session and authentication data, per-user permission settings, and activity logs (such as records of key actions taken in the Application). We may also process standard technical data such as timestamps and error logs.

The Application is operated as a private, access-controlled system. We apply reasonable administrative, technical, and organizational safeguards designed to protect information, including:

No method of storage or transmission is completely secure, and we cannot guarantee absolute security. Users are responsible for keeping their credentials confidential and for using the Application in accordance with our internal policies.

We retain information for as long as needed to operate the Application, meet the business and compliance purposes described in this policy, and satisfy legal and recordkeeping obligations (including transportation-industry and tax recordkeeping requirements). When information is no longer needed, we take reasonable steps to delete, archive, or de-identify it. Cached third-party data (including QuickBooks report data) is retained only as needed to display current information and is refreshed or replaced on subsequent syncs.

10. Your choices and rights

Because the Application is an internal tool, most individuals interact with it as employees or contractors of Superior Logistics Ohio. If you have questions about the information the Application holds about you, or wish to make a request regarding that information, contact us at contact@superiorlogisticsoh.com. We will respond consistent with applicable law and our internal policies. Administrators can disconnect any third-party integration at any time as described in Section 4.

11. Children’s privacy

The Application is a workplace tool intended for adults and is not directed to children. We do not knowingly collect information from children under 16.

12. International use

The Application is operated in the United States and intended for use within the United States. If you access it from elsewhere, you understand that information is processed in the United States.

13. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above and, where appropriate, provide additional notice. Continued use of the Application after an update constitutes acceptance of the revised policy.
